Federal Work Study on Sponsored Awards Policy

We write with a reminder that the Federal Work Study Policy against using federal grants to fund the institutional share of the Federal Work Study (FWS) program took effect on January 1, 2020. Any FWS charges on federal awards between October 1, 2019 and December 31, 2019 will have to be manually certified or moved from the federal award to a non-federal funding source. FWS charges should not appear on federal awards after January 1, 2020.

  • To move charges that have already posted related to Federal Work Study, please contact Steven Cilento, Manager of Federal Work Study at steven_cilento@fas.harvard.edu. Steven will prepare the journal entry that will result in the correction of the expenses when the Mass Allocation for Federal Work Study runs at month end. Steven’s entry will ensure that the HUID and other elements of the journal entry will be properly interpreted by Student Wage Reporting and by ecrt.
  • To direct future Federal Work Study charges to a new funding source, please complete a Job Data Change with a non-federal funding source and route through your tub. Steven will review the fund and will prevent federal funds (funds starting with “1”) from being used.
