May 19 GMAS Release: Highlights of Subagreement Enhancements

Dear colleagues,

The Friday, May 19th GMAS release includes a combination of technical upgrades and bug fixes, as well as several enhancements that were proposed by the GMAS user community. There is something for just about everyone in this releaseso keep those ideas coming

Subagreement updates include:

  • Rollback Notification
  • New Dates & Dollars Screen
  • Ability to send notifications from Comments
  • Record counts captured on Sub Dashboard

GMAS Subagreements job aids have been updated to provide more details about the changes in this release.

Rollback Notification

  • When a subagreement/subamendment draft request is rolled back to a prior status, the person who rolls it back can identify a person (or people) to notify via an automated GMAS email notification. No more manually sending emails outside GMAS for rollbacks!

Dates & Dollars

The Dates and Dollars modal “pop up” in the GMAS subagreement and subamendment draft request is now a screen. How you enter dates and dollars for a subagreement/subamendment will not change, but….

  • There is more room for additional help text.
  • The Anticipated start date is now editable to allow you to budget for gaps or overlaps in subagreement budget periods.
  • A new “Change” line is displayed for any subamendment to help you identify the impact of the information entered without having to go back to the subagreement homepage.

Previously Issued Panel

  • See any previously issued initial subagreement and subamendments directly on the Subagreement homepage.
  • For subamendments, the Subamendment attributes applied are displayed to identify what has been changed. No need to click in to the subamendment to figure out what changed.

Send Notifications from Comments

  • The person entering a comment can identify a person (or people) to send the comment to via an automated GMAS email notification.  This enhancement applies to all comments fields in converted GMAS screens and builds on the Clarifications Requested function introduced in the February Subagreements release.  Departments can now initiate communication in GMAS with central office staff or other colleagues, rather than just respond to Clarifications requested.
  • The name of the person who was notified is visible in the comments panel.

  • Record counts reflect filters applied.
  • Harvard PI displays awarded PI vs. proposed PI.

In response to requests from Department Administrators who manage subagreements, the GMAS Summer release will include an invoice tracking download for all subs across a segment or for a specified subagreement.
