New GMAS Questions Implementing Data Management and Sharing Plan Requirements

Dear Research Administrators,

 

As previewed at the December Research Management Meeting, as part of the University’s efforts to prepare for the January 25, 2023 effective date of the new NIH Data Management and Sharing Policy, the University has determined that GMAS will serve as the system of record for data management and/or sharing plans (DMSPs) associated with sponsored proposals/awards. DMSPs, if required, are generally submitted to the sponsor as part of the standard application package, and adherence to the DMSP is typically included as part of the terms and conditions of the award (as is the case with the new NIH Policy).

 

Effective Tuesday, January 3rd, the below two new questions will be added to the “School specific information” section of GMAS (just under the question about whether the work is related to SARS-CoV-2/COVID-19) for initial, competing, supplement, and continuation requests. These questions will be added for all sponsors, not just the NIH, as it will be beneficial for our community to be able to track these requirements more broadly. Please note that the appearance of these questions in requests related to other sponsors does not mean that the requirements of those other sponsors have also changed.

 

New GMAS Questions:

  1. Does this award/proposal require a data management and/or sharing plan?
  2. Does this request include a new/updated data management and/or sharing plan?

The first question is intended to memorialize the existence of the requirement. Once this question has been answered yes, it should remain yes unless/until the sponsor changes the award terms and conditions to remove the requirement. The second question is intended to indicate whether the specific request contains a new or revised DMSP, which will aid us in ensuring the most up-to-date version of the approved DMSP has been uploaded to the segment repository and tagged appropriately in GMAS.
