November 05, 2024

**GMAS changes on international travel when paying International individuals for services outside of Harvard’s Accounts Payable Buy-to-Pay system.** There will be a system generated email from <financialpolicy@harvard.edu> on awards in GMAS that include Internation Collaboration when the following boxes are selected on the ICA approval:

- **International Travel**
    - Conduct fieldwork (e.g. data collection, surveying, collecting samples, conducting experiments)
- **International Collaboration (other than Subaward recipients)**
    - Fieldwork, including data collection surveying, collecting sample, and/or conducting experiments

Please advise anyone traveling seeking reimbursement outside of Buy-to-Pay to contact <financialpolicy@harvard.edu> for an initial consultation prior to traveling.

## SAMPLE EMAIL:

***Email Subject Line:** Advisory Regarding International Collaboration Payments to Individuals

**Email Language:**
Segment Title:

The above award was noted as having an international collaboration component (other than a subaward recipient).

If your project will include **paying international individuals for services outside of Harvard’s accounts payable Buy-to-Pay system** (i.e., if you will pay individuals using cash, University-issued or personal credit card in predominately cash-based economies), there is a University process in place to enable your research by proactively mitigating potential tax and legal risks. Please contact <financialpolicy@harvard.edu> for an initial consultation.*
